How to switch HOA software without losing ledgers
Independent editorial site. Independent comparison. We are not affiliated with listed vendors unless a sponsored row is labeled. We are not an HOA, not a community association manager, and not Buildium or any other vendor.
Answer first
Export the chart of accounts, owner balances, payment history, documents, and violation files before you give notice. Run both systems through one close. Do not treat a vendor migration slide as a backup. We do not perform migrations. Confirm the plan with your CPA.
| Artifact | Acceptable form |
|---|---|
| Chart of accounts and trial balance | Date-stamped export the incoming bookkeeper can open |
| Owner ledger and prepaid/delinquent | Per-unit balances that sum to the control account |
| Bank recs | Last closed month plus uncleared items |
| Documents | CC&Rs, policies, insurance, minutes โ not only in-app |
Questions asked in this shape
When should we tell the old vendor?
After you have a readable export, not before. Notice periods are a contract fact, not our advice.
Will you migrate us?
No. This is an explainer.
